TPS Software takes advantage of the latest software available from Microsoft to seamlessly integrate many of the features that Accounting firms have long been waiting for. TPS did not have to suffer under the earlier constraints of early 32 bit Windows products; it was designed from the ground up to take advantage of the newest programming utility releases. TPS Software does everything you would expect from a high quality Time & Billing program, but has numerous added features that you do not see in software many times its price. It has an extensive client profile that links directly into Microsoft Outlook 2000/XP "CONTACT" feature so you do not have to have a separate contact manager. You can synchronize your client database with Outlook, which allows you to carry a PDA with all your current information. Using Microsoft Exchange anyone with 'permissions' can check your Microsoft Outlook "CALENDAR" and see if you are free to have an appointment. You can also enter appointments directly from the 'time entry screen' as you record the time you are talking to the client on the phone. Optionally you can choose not to link to Microsoft Outlook. Time entry can be recorded with or without a clock feature for all your chargeable and non-chargeable time. There is even a multicolored bar chart to let you view your day at a glance. The design allows for 'real time' entry for those firms that wish to have it or it can require that employees have their time checked before it becomes WIP. Employees can see at a glance how many hours they have worked in the day and administrators can review and subtotal time records in a variety of ways. Expenses can also be entered for billing purposes. The time entry also provides an 'adhoc' view/report so partners or administrators can view the entire activity of the firm by client, work, employee, engagement and date. The extensive demographics in the client file encourage work scheduling and mailing to be done from this comprehensive client database. (Clients are recorded by industry type (including SIC), year-end, services(s) performed and group of associated companies. Specialized lists can also be created for uses such as birthday cards.) TPS also keeps track of your prospective clients as well as all the important contacts that are related to these clients and prospects. Client indebtedness (WIP + AR) measure allows you to place a "hold" on future work until satisfactory financial arrangements are made with the client. Up to 4 levels of responsibility can be designated for each client so that each person responsible can receive WIP and other reports crucial to managing the file. All US and Canadian taxes are accounted for in TPS. You can select which clients receive AR Statements as well as whether you wish to charge them finance charges on overdue amounts. Individualized messages can be printed on the clients invoices as well as eeping private internal notes which act as important reminders on WIP reports and in "On Screen Billing". Clients can have their own preferred invoice format and this is done using a Microsoft Word Templates so training is at a minimum and flexibility is at a maximum.
